1. Who We Are & Scope

This Privacy Policy describes how Airbot for Electronic Marketing (registered in Arabic as “شركة إيربوت للتسويق الإلكتروني”) processes personal data when you visit or use Omnibot, access our websites, or interact with us. Our registered address is 10 Street branching off 82 Street, Maadi, Cairo 4212011, Egypt.

The policy covers personal data about: (a) customers and prospective customers; (b) end users and contacts whose information is processed by customers through Omnibot; (c) website visitors; and (d) job applicants and vendor contacts. It applies to Omnibot’s web application, APIs, mobile experiences (if any), documentation, marketing websites (including airbot.cloud), and related services (collectively, the “Services”).

Summary: Airbot controls how personal data is used in relation to Omnibot. This policy explains what we collect, how we use it, and your choices.

2. Information We Collect

2.1 Information You Provide

  • Account & Business Data: name, email, password, phone, company name, business profile details, billing contacts, and subscription preferences.
  • Conversation & Content Data: customer messages, chatbot training materials, knowledge base articles, attachments, notes, and metadata ingested into Omnibot.
  • Integrations & Credentials: OAuth tokens, API keys, webhook URLs, channel configuration, and third-party identifiers (e.g., Meta Page IDs).
  • Support & Communications: requests submitted through chat, email, or forms, along with survey responses and feedback.
  • Recruitment Data: CVs, portfolios, and employment details if you apply for a role with Airbot.

2.2 Information We Collect Automatically

  • Usage Data: log files, device identifiers, IP address, browser type, operating system, pages viewed, referring URLs, timestamps, session duration, and feature interactions.
  • Diagnostics & Analytics: crash reports, performance metrics, and anonymized telemetry to monitor service health and detect abuse.
  • Cookie & Tracking Data: preference cookies, authentication tokens, analytics tags, and similar technologies (see Section 5).

2.3 Information from Third Parties

  • Integrations & Platforms: data from connected services such as Meta (Facebook/Instagram), email providers, CRM systems, calendars, and productivity tools.
  • Partners & Referrals: contact details and usage information supplied by resellers, marketplace partners, or your colleagues who invite you to Omnibot.
  • Public Sources: company information, professional profiles, and verification data to confirm eligibility or prevent fraud.

3. How & Why We Use Information

Analytics & Service Improvement Measure feature adoption, improve AI models, develop new capabilities, and optimize performance.
Legal & Compliance Meet regulatory obligations, perform KYC checks, fulfill contractual commitments, and enforce our Terms.
Marketing (with consent where required) Send product updates, event invitations, and promotional content. You can opt out at any time.

5. How We Share Information

We share personal data with:

  • Service Providers: hosting (e.g., AWS or equivalent), analytics, email delivery, logging, payment processing, and customer support platforms operating under contractual confidentiality.
  • AI Providers: OpenAI (ChatGPT APIs) and other AI vendors used to power Omnibot features. Data shared is limited to what is necessary to generate responses or embeddings.
  • Channel Integrations: Meta (Facebook/Instagram), email providers, and other platforms you choose to connect; sharing occurs solely under your instructions.
  • Professional Advisors & Authorities: auditors, lawyers, regulators, and law enforcement when legally required or to protect rights and safety.
  • Business Transfers: in the event of a merger, acquisition, financing, or sale of assets, subject to confidentiality obligations.

We do not sell personal data. We do not allow third parties to use Customer Content for advertising.

6. Cookies & Tracking Technologies

We use first-party and third-party cookies, web beacons, and similar technologies to remember preferences, authenticate sessions, analyze traffic, and personalize experiences. You can manage cookies through your browser settings. Essential cookies are required for the Services to function.

We may use analytics tools (e.g., privacy-conscious analytics or first-party telemetry) to understand usage patterns. Where required by law, we will ask for your consent before placing non-essential cookies.

7. Security & Data Retention

We implement administrative, technical, and physical safeguards—including encryption in transit, access controls, network monitoring, logging, and security reviews—to protect personal data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

We retain personal data for as long as necessary to fulfill the purposes outlined in this Policy, comply with legal obligations, resolve disputes, and enforce our agreements. Where possible, we anonymize or pseudonymize data for analytics and product development.

8. Platform Integrations & Data Deletion

When you connect Omnibot to Meta (Facebook/Instagram) or other messaging platforms, we receive identifiers, permissions, and conversation content required to deliver the integration. Meta can send us deauthorization or user data deletion callbacks, which we process through dedicated endpoints at /api/v1/facebook/compliance/deauthorize and /api/v1/facebook/compliance/deletion-request. Each callback response includes a confirmation code plus a status URL at /api/v1/facebook/compliance/deletion-status/:code that can be shared with the requesting user.

Once a compliant request is verified, Omnibot revokes tokens, disables the affected channel, and deletes or anonymizes contacts, conversations, and messages tied to the supplied user ID within 30 days (often sooner). Workspace admins may also initiate deletions manually from the dashboard or by emailing support@airbot.cloud. If you export data outside Omnibot, you are responsible for propagating the deletion to your downstream systems.

9. International Data Transfers

Omnibot may store and process data in countries other than where you reside, including Egypt, the European Union, and the United States. When transferring personal data outside the EEA/UK, we rely on mechanisms such as standard contractual clauses, adequacy decisions, or other safeguards recognized by applicable law.

10. Your Privacy Rights

Depending on your location, you may have the right to:

  • Access, correct, or delete personal data we hold about you.
  • Export a copy of your data in a portable format.
  • Object to or restrict certain processing activities.
  • Withdraw consent at any time (without affecting prior processing).
  • Lodge a complaint with your local supervisory authority.

To exercise these rights, contact support@airbot.cloud. We may need to verify your identity before fulfilling the request. If you are an end user of an Omnibot customer, please direct your request to that customer; we will support them as a processor.

11. Children’s Privacy

The Services are not intended for children under 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can delete it.

12. Changes to this Policy

We may update this Policy to reflect changes in technology, law, or our Services. If we make material changes, we will provide notice (e.g., email, in-product alerts, or a prominent notice on this page) at least 30 days before the changes take effect. Continued use of the Services after the effective date signifies acceptance of the revised Policy.
